Inviting Crew and Cast to Confirm Details and Opt In

Email one person a private link from their Crew, Cast or Background row. They confirm their name, phone and dietary needs, and can opt in to SMS call sheet reminders.

Sending the Invite

On the Crew, Cast or Background tab, hover a row and click the Mail icon at the end of it (tooltip: Send invite). The Send Invite dialog opens with the person's name, email and role already filled in.

  • Role / Position: how the email describes them, for example Gaffer or Lead Actor. On a crew row, what you type here also replaces the row's role
  • Email Address: required. The address you send to is saved to the row
  • Personal Message (optional): shown in the email and again at the top of the page they open
Tip: You need edit access to the production to send an invite. A viewer gets "Write access required".

One Recipient: the Performer or One Rep

An SMS opt-in is consent from one phone number, so each invite goes to exactly one person. When a cast or background performer has reps on file, a Send to picker appears. Choose the performer or one named rep. Picking a rep adds a To Rep badge to the dialog, changes the field to Rep's Email Address, and shows the Talent Info the email will carry: the performer's name, role, email and phone. If the production sends this performer's call sheets to their reps, the dialog starts on the first rep.

Important: A second rep needs a second invite. Their opt-in is recorded on their own rep record, apart from the performer and apart from the first rep.

What They Receive

The email carries your production's logos and company name. The subject is Confirm Your Info for your show title, or for a rep, Action Required: Confirm Contact Info for the performer's name. A button (Confirm My Info, or Review & Confirm Info for a rep) opens a private link of the form /opt-in/<show-name>/<token>. If they hit Reply, the reply goes to the email address on your G-Casper Pro account.

Tip: The email says plainly that it supplements the production's paperwork and is not an offer of work. That line is fixed. Leave the personal message for show details.

The Page They Open

The page is titled Confirm Your Contact Info & Dietary Needs. It names who added them and to which production. They can edit:

  • Full Name
  • Phone Number
  • Dietary Restrictions (optional)
  • Yes, send me SMS reminders for call sheets: an optional box under SMS Call Sheet Reminders, with the message rates and STOP / HELP wording beside it
Important: What they type replaces the name and phone on the row when they click Save My Details. A performer who types a nickname will print on the call sheet under that nickname. A rep's page updates the rep's name and phone only.

The Opt-In Record

Ticking the box and saving records the time of the opt-in on that person's row. The Mail icon on the row then turns green, and its tooltip reads SMS opt-in confirmed. Saving with the box unticked records no opt-in, and clears one they gave earlier on the same link. A rep's opt-in is stored on the rep, so it does not turn the performer's icon green. This opt-in belongs to this production only. A reply of STOP to any text blocks the number on every production, whatever the row says. See SMS Consent & Compliance.

Expiry and Resending

The link works for 14 days from the moment you send it. After that the page shows Link Expired, and saving is refused. Send a fresh invite from the same row. A new invite replaces the old link. Anyone who opens the earlier email after that sees Invalid Invitation.
