Supported PDF Formats

The crew PDF importer works with standard crew list PDFs that contain names, positions, and contact information. Most production offices distribute crew lists in a tabular format with columns for name, position, phone number, and department. The parser handles common variations in layout and formatting.

How to Import

To import a crew list from PDF, follow these steps:

  • Navigate to the Crew tab in your production
  • Click the Import button in the toolbar
  • Select 'Import from PDF' and choose your file
  • The system uploads and parses the PDF automatically
Tip: For best results, use PDF files that have selectable text rather than scanned images. Scanned documents may not parse correctly.

Reviewing Imported Data

After parsing, a review screen shows all extracted crew members with their detected names, positions, phone numbers, and departments. You can correct any mismatches, reassign departments, or remove entries before confirming the import. No data is written to your production until you click Confirm.

Important: Always review parsed data carefully. The parser does its best to extract structured information, but unusual formatting may cause mismatches that need manual correction.

Department Detection

The importer automatically assigns crew members to departments based on their position titles. For example, a 'Gaffer' is assigned to Electric, a 'Key Grip' to Grip, and a 'Boom Operator' to Sound. If the parser cannot determine a department from the position title, the crew member is placed in an 'Unassigned' group for you to categorize manually.
