How to add or remove individual Special Instruction items for a specific scene without editing the breakdown, and how to reorder or hide departments using the Manage Departments panel.

What Are Special Instruction Overrides?

The Special Instructions section on the call sheet front is populated automatically from scene breakdown elements: props, wardrobe, stunts, and any other department categories. If a breakdown item is wrong for today only (the wrong prop listed, a note that does not apply to this shooting day), you can override it directly on the call sheet without editing the breakdown. These per-scene overrides live on the call sheet, not in the breakdown, and do not affect any other call sheet day.

Adding and Removing Items

Overrides are made by editing the Special Instructions section inline on the call sheet front. When you remove an item from a dept × scene pairing or add an item that is not in the breakdown, the call sheet records that delta as an override. The change takes effect immediately on the current call sheet.

The Override Info Chip

When at least one override exists, a gray info chip appears on the right edge of the Special Instructions section. The chip label shows how many overrides are active (for example, '3 overrides'). Click it to open a popover that lists every active override grouped by dept × scene:

  • Green chip prefixed with +: an item was added to that dept × scene pairing
  • Red chip prefixed with −: an item was removed from that dept × scene pairing
  • Each group shows a 'Save to breakdown' link to commit those changes permanently
  • The popover footer has a 'Save all to breakdown' button that commits every active override at once

Per-Item Undo

Inside the override popover, each item has an undo control on its right edge. For a removed item, tap the restore arrow to put it back. For an added item, tap × to remove it. Undoing an item only affects that one entry. The remaining overrides for that dept × scene are preserved.

Save to Breakdown

Overrides are call-sheet-only by default. If the breakdown was genuinely wrong and the change should be permanent, use 'Save to breakdown' to write the merged result back to the scene breakdown. Once saved, the override is cleared and the department section reads from the breakdown as normal. 'Save all to breakdown' does this for every active override in one step.

Tip: Save to breakdown is irreversible. Only use it when you are certain the breakdown itself should change, not just today's call sheet.

Manage Departments Panel

The Manage Departments panel controls which departments appear in the Special Instructions section and in what order. Open it by clicking the pencil icon next to the Special Instructions header (hover the header to reveal it). The panel lets you:

  • Toggle visibility on or off for any department row using the blue toggle switch
  • Drag rows up or down with the grip handle to reorder how departments appear on the call sheet
  • See all configured departments including any custom categories added in the Breakdown tab
  • Standard department names are fixed and cannot be renamed in this panel; only custom categories can be renamed
Tip: Hiding a department in Manage Departments removes it from the printed call sheet. The breakdown data is not affected.

Adding a New Department Category

If you need a category that does not exist in the list (for example, 'Specialty Vehicles' or 'VFX Plates'), add it in the Breakdown tab first. At the bottom of the Manage Departments panel there is an 'Add a category in the Breakdown' link that navigates directly to the Breakdown tab where custom categories can be created. Once created, the new category appears in the Manage Departments list automatically.
