Google Sheets Interoperability

The first call sheet software to export schedules, breakdowns, and BG data directly to Google Sheets with live sync.

Built on Interoperability

G-Casper Pro is built around interoperability. It brings data in from every major scheduling platform and sends it back out in formats your team already uses. The Google Sheets integration is a good example of this, and a first for call sheet software.

What Gets Exported

G-Casper Pro can export four core datasets directly to Google Sheets:

DatasetWhat's Included
Breakdown DataScene numbers, descriptions, page counts, cast assignments, locations, INT/EXT, Day/Night, element categories, and script notes
Days ScheduleShoot day numbers, dates, scenes per day, shooting order, locations, and day-level notes
BG ListRole group names, planned quantities, scene assignments, looks, bumps, rate, and notes for every BG role group
Extras BreakdownIndustry-format BG sheet: one row per scene, columns SCENE / SET / # / BACKGROUND / NOTES / REUSED; week banners, day banners, BG Head Count and Approx Lunch Count per day, and week totals
Tip: The exported sheets preserve the structure of your production data, making them immediately useful for department heads, coordinators, and anyone who needs schedule or BG information in spreadsheet form.

The Extras Breakdown Sheet

The Extras Breakdown export produces an industry-standard format used by most BG departments. Each scene gets one row. The columns are:

  • SCENE: Scene number
  • SET: Location/set description
  • #: Quantity of background performers (from the BACKGROUND role group count)
  • BACKGROUND: Role description
  • NOTES: Scene-level BG notes
  • REUSED: User-entered reuse notes from BG Breakdown (pulled from the reuseNotes field, keyed by scene number)
Tip: The Approx Lunch Count at the bottom of each day block uses the unique performer count from BG Breakdown - deducting reused performers so that only new faces are counted as meals. If you have not configured any reuse mode, lunch count equals the gross total.

Export vs. Update

The first time you export a dataset, G-Casper Pro creates a new Google Sheet and stores the sheet ID in your production record. Every subsequent export for the same dataset updates the same sheet - it clears the existing content and rewrites it with the current data. You never need to re-share links with your team. The URL stays the same throughout the production.

  • First export: creates a new sheet and stores the sheet ID
  • Subsequent exports: clears and rewrites the same sheet
  • Each dataset (Breakdown, Days Schedule, BG List, Extras Breakdown) has its own sheet ID
  • Sheet IDs are stored on your production record and persist across sessions

How to Export

Exporting to Google Sheets requires a connected Google account:

  • Connect your Google account from Profile > Security & Connections (see Google Sign-In & Sheets Integration)
  • For Breakdown or Days Schedule: navigate to the Breakdown tab or Days Schedule tab and click the Google Sheets export button in the toolbar
  • For BG List: navigate to the BG tab > BG List subtab and click the Google Sheets export button
  • For Extras Breakdown: navigate to the BG tab > BG Breakdown subtab and click the Extras Breakdown export button
  • The spreadsheet opens automatically in a new tab
  • To update the same sheet later, click the export button again - G-Casper Pro updates the existing document

Why This Is a World First

G-Casper Pro is the first call sheet software to offer direct Google Sheets export with live sync. Most tools either lock your data in PDFs that cannot be edited, or require manual copy-paste into spreadsheets. G-Casper Pro's approach means department heads can receive a live Google Sheet link at the start of production and check it throughout the shoot knowing the data is always current. Coordinators can build their own tracking sheets that reference the exported data. The production's schedule becomes a living, shared resource accessible to the whole team throughout the shoot.

The Interoperability Picture

Google Sheets export is one part of G-Casper Pro's broader interoperability strategy. The full picture includes:

  • Movie Magic PDF Import - Import from the industry's most widely used scheduling software using two standard PDF reports, including the world's first Movie Magic 10 import
  • USS (Universal Scheduling Standard) - Native support for the open schedule interchange format pioneered by ThinkCrew
  • Excel Import - Bring in crew lists, cast, and schedules from spreadsheets
  • Google Sheets Export & Live Sync - Send breakdown, schedule, and BG data to Google Sheets with ongoing updates
  • PDF Export - Generate print-ready PDFs for every report type
Tip: G-Casper Pro works with your tools, not against them. Data flows in from your scheduling software and out to the platforms your team uses every day.
