Booking Confirmations and Logistics Exports

Marking a stay as booked, what that protects it from, and the workbooks that go out to hotels and rental houses.

What Booked Means

A drawn stay is a plan. A booked stay is money already committed. Ticking the box records the confirmation reference and stamps the dates as they stood at that moment. Those stamped dates are what the change fee gets measured against later, so a bar somebody stretches by hand next week can still say what the hotel was actually told.

What It Protects the Booking From

The re-mold pass moves unbooked stays to follow the schedule. It will not move a booked one. It reports it instead, with the day the work went to and the dates the hotel holds.

Important: Changing a confirmed booking costs money and usually needs somebody's approval. Software that quietly rebooked a room would be making that call for you. G-Casper Pro raises its hand and waits.

Booking Requests by Property

Export from an accommodation and you get a workbook addressed to that property: every guest, their check-in, their check-out, the night count, the room type, and the confirmation reference where one exists. A second sheet gives rooms per night across the run, which is the number the reservations desk works from.

Tip: Send the workbook before the confirmations exist. The blanks in the confirmation column are the list of what you are waiting on.

Rental Houses

A vehicle export is the same document for a different vendor: who has the car, from when to when, and the daily rate. Rental possession windows are drawn as bars in Lodging alongside the rooms, because the same person usually needs both and they are booked in the same conversation.

Per-Person Itineraries

Export by person and you get one document covering everything that person has: rooms, vehicles, and flights, in date order. The same document goes out by email from the Lodging tab.

  • Flight legs with airline, number, airports and local times
  • Hotel with address, check-in and check-out
  • Vehicle with pickup location and dates
  • Confirmation references throughout

Rates and Who Gets Them

Every export checks the requester's tier before it writes a rate column. AD-level members get the same workbook with the money left out. The hotel does not need your rate to hold a room, and the 2nd AD sending the request does not need to know what the lead is paying for theirs.

The Transpo Workbook

Transpo exports its own workbook: the shuttling grid, the holding grid, the vehicle list and the footprint totals, one sheet each. This is the document that goes to a location manager who wants the space count in writing.
