Creating Your First Call Sheet

Step-by-step guide to creating a professional call sheet in G-Casper Pro.

Before You Begin

Before you start, gather:

  • Production basics (title, company name, contact details)
  • Your shooting plan from scheduling software (ThinkCrew, Movie Magic) or a general idea of your first shoot day
  • Key crew members and their departments
  • Location information for your first shoot day
Tip: For narrative productions, import from your scheduling software first. That brings in scenes, cast, and structure automatically.

Step 1: Create a New Production

Set up your production:

  • Click "New Production" from your dashboard
  • Enter your production title and company name
  • Add key contacts (Producer, UPM, 1st AD, 2nd AD)
  • Set your start date and estimated wrap date
Tip: You can always edit production details later.

Step 2: Set Up Your Crew List

Your crew list drives the call sheet back. Crew is organized by department:

Step 3: Add Your Cast

For each cast member, specify:

  • Actor name and character name
  • Work status (W = Work, H = Hold, T = Travel, etc.)
  • Special notes (dietary restrictions, pickup requirements)
  • Scenes they appear in

Step 4: Create Your Shooting Day

Create your first shooting day:

  • Go to the Days tab and click "Add Day"
  • Set the shooting date and day number
  • Assign scenes to this shooting day
  • The call sheet pulls in scene information automatically

Step 5: Set Call Times

Set your General Crew Call, then adjust individual times as needed. G-Casper Pro uses a relative call time system:

Tip: If you change General Crew Call later, all relative times adjust automatically.

Step 6: Add Locations

Enter your shooting locations with full addresses. G-Casper Pro pulls in weather forecasts and can provide mapping links for your crew.

Step 7: Review and Finalize

Review front and back before distributing:

  • Check that all crew members have correct call times
  • Verify cast call times and pickup information
  • Confirm location addresses are accurate
  • Review the scene schedule and special instructions
  • Check weather information is displaying correctly
