1st AD vs. 2nd AD: call sheet responsibilities

The 1st AD runs the set. The 2nd AD builds the call sheet. Here is how responsibilities divide between the two roles in daily production.

The division of labor

On a professional film or TV production, the 1st AD and 2nd AD have distinct responsibilities that depend on each other. The 1st AD sets the creative and logistical priorities for the day. The 2nd AD translates those priorities into the paperwork and coordination that makes the day run.

On smaller productions, one person may hold both roles. On larger ones, there may be multiple 2nd ADs and a 2nd 2nd AD.

The 1st AD's role on the call sheet

The 1st AD does not build the call sheet, but their decisions drive it:

  • Sets the general crew call time
  • Determines which scenes are shooting and in what order
  • Approves the call sheet before distribution
  • Decides on any day-of changes that require a revised call sheet
  • Reviews and signs off on special instructions and advance scheduling

The 2nd AD's role on the call sheet

The 2nd AD does the work of building the call sheet:

  • Gathers crew call times from department heads
  • Builds the crew list on the back of the call sheet
  • Assigns individual cast call times based on hair, makeup, and wardrobe prep
  • Confirms cast pickup information and transportation arrangements
  • Enters location details and retrieves weather data
  • Writes general notes and advance scheduling information
  • Sends the draft to the 1st AD for approval
  • Distributes the approved call sheet to the full crew

How they work together

The 1st AD and 2nd AD communicate constantly. Before the day begins, the 1st AD briefs the 2nd AD on priorities, special requirements, and any concerns about the schedule. During the day, the 2nd AD keeps the 1st AD informed of cast status, BG numbers, and any paperwork issues that need a decision.

The 2nd AD also works with the production office on logistics that happen away from set: crew day-out-of-days, cast travel, advance prep for upcoming days.
